Job Overview:
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and executive support to the Founding Partner and senior leadership team . The ideal candidate will have at least 3 years of relevant experience, excellent communication skills, and the ability to manage complex scheduling, travel coordination, and confidential operations in a fast-paced environment. Proficiency in Microsoft Office and Google Workspace is essential.
Key Responsibilities:
- Manage and maintain schedules, appointments, and travel arrangements for the Founding Partner.
- Handle correspondence, including emails, calls, and written communication.
- Prepare and edit documents, reports, investor decks, and presentations using Microsoft Office and Google Docs.
- Organize and maintain both digital and physical filing systems.
- Coordinate logistics for meetings, events, retreats, and board sessions.
- Attend meetings when required, take detailed notes, and follow up on action items.
- Conduct background research and compile briefs on companies, investors, markets, and events.
- Support internal communications and ensure smooth information flow across departments.
- Track ongoing projects and cross-functional workstreams, providing updates and ensuring deadlines are met.
- Provide administrative support including procurement, expense reporting, and onboarding coordination.
- Assist with personal tasks as needed with discretion and professionalism.
Required Skills & Qualifications:
- Minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or in a high-level administrative role.
- Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Gmail, Calendar).
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Ability to multitask, prioritize, and manage competing demands.
- High level of discretion, integrity, and professionalism.
- Experience coordinating travel and logistics, including across time zones.
- Strong interpersonal skills and a collaborative, service-oriented mindset.
